Ship Provisioning Lead Times at Indian Ports
Ordering provisions and stores for an Indian port call is mostly a matter of timing and paperwork. This guide pulls together published guidance on how early to send a requirement, what changes between berth and anchorage, what launch hire can cost, and where delays usually start.

How early to send the requirement
Masters and purchasers are advised to order provisions and stores 24-48 hours before ETA. That is the baseline for standard supplies, and it is a minimum rather than a comfortable margin.
The same guidance says the timing changes with the type of cargo. Rydex (Kochi) advises sending requirements 24-48 hours before ETA for standard supplies and earlier for bonded items or customs-sensitive cargo. If your list mixes fresh provisions with bonded stores, the bonded lines set the deadline, not the fresh ones.
- Standard supplies: send the requirement 24-48 hours before ETA.
- Bonded items and customs-sensitive cargo: send it earlier than that.
- Mixed lists: work back from the bonded lines.
If the ETA moves, send the revised time with the requirement so the supplier is working from the current date.
Berth or anchorage: say which one
The delivery point decides how the stores reach the ship, so the requisition should state it. Chennai Port definitions state that anchorage is the area outside the breakwater. Launch-based delivery is used for anchorage calls, while berth hire applies for docked vessels.
In practice this means an anchorage call brings a launch into the plan, and a launch brings a cost and a booking. A requisition that only says "Chennai" leaves that open, and the question has to be asked later when time is short.
State the delivery point in the first message: berth or anchorage, and the terminal or anchorage area if known.
Launch hire: two published examples
Launch hire is a real line in the budget, and port schedules differ. The Chennai schedule of rates lists launch hire per launch at US $151 (Coastal ₹3,980) with a minimum 2 hour hire.
Mumbai Port rates launch hire per launch at US $565.44 (Coastal ₹20.6664 per hour) and requires a written requisition at least 12 hours before the launch is needed. Two ports, two different rate structures, and a notice period at one of them that sits inside your ordering window.
Rates are revised by the port authorities, so treat these as examples of how the charge is built, and check the current schedule for the port you are calling.
- Chennai: charged per launch, with a minimum 2 hour hire.
- Mumbai: charged per launch, with a written requisition at least 12 hours ahead.
Customs paperwork and port dues
Both Rydex (Kochi) and Apurva (Mumbai) note that bonded documentation must be prepared in line with port authority customs procedures. Where it is not, the result is hold-ups. This is why the guidance asks for customs documentation to be arranged early rather than on the day of arrival.
There is also a cost point for calls made only to take on stores. The Chennai schedule of rates gives a 50 % concession on port dues for vessels entering solely for provisions or stores. If a call is purely for supplies, ask the agent whether the concession applies before the port call is confirmed.
Check the concession conditions with the port or your agent. The published line is a summary, not the full rule.
Port call provisioning checklist
- Send standard requirements 24-48 hours before ETA, and earlier for bonded or customs-sensitive items.
- State berth or anchorage in the first message.
- For anchorage calls, confirm launch hire and any minimum hire period.
- Check whether the port needs a written launch requisition, and how many hours ahead.
- Prepare bonded documentation to the port authority customs procedure early.
- Ask whether the port dues concession for provisions-only calls applies.
- Allow room for weather, equipment problems and berth availability.
Plan around the usual causes of delay
Industry notes cite incomplete documentation, customs paperwork errors, equipment breakdowns, adverse weather and berth unavailability as frequent delay factors. Two of those are in your hands: the documents and the timing. The rest you can only allow room for.
The checklist below turns the guidance above into steps you can run through before each port call. When your requirement is ready, you can send it through the request a quote page, and the provisions and bonded stores pages show what can be listed. The ports page lists the ports covered.
A2Z Ship Stores has served vessels since 2001, serves the port of Chennai, and supplies provisions, bonded stores and nautical equipment to vessels at berth and anchorage.
